The Xero App Store lists Hubdoc as included in Xero Starter, Standard, and Premium plans, and in Xero Early, Growing, and Established in the US. Hubdoc extracts key information from uploaded or emailed documents and makes it available for publishing into Xero workflows.

Each Hubdoc organization has a unique Hubdoc email address. Hubdoc says you can find it in the Upload Document window and in Organization settings. Documents can be emailed or forwarded to that address with the document attached, or with information entered in the email body.

Xero Receipt Emails: Files Inbox vs Hubdoc

Unlike tools that give you one generic receipt email address, Xero has three different email-based systems for receiving documents. Understanding which one to use is the key to getting receipts into Xero properly.

Xero Files and Smart Document Capture

Xero shows organization-specific document email destinations:

Recommendation: For receipt processing, choose the destination by outcome. Use Xero document capture when the Xero-native review flow is enough, use Email-to-Bills for supplier bills, and use Hubdoc when your team wants a separate capture and publishing workspace.

If you chose Hubdoc because you want a separate extraction and publishing workspace, use this setup. Xero Files and Email-to-Bills use the account-specific addresses shown in Xero.

Set up Hubdoc and find your email address

Connect Hubdoc to your Xero organization if your plan and region include it. Go to Hubdoc > Settings > Organization to find your unique email address: [prefix]@app.hubdoc.com. Save the exact address shown in Hubdoc for future forwarding.

Forward the receipt email to Hubdoc

Forward the original receipt or invoice email to your Hubdoc email address. Hubdoc guidance says you can attach a document or enter information in the email body. You can also compose a new email with the receipt file attached.

Hubdoc extracts the receipt data

Hubdoc extracts key financial data from readable documents. You can review and correct extracted data in Hubdoc before publishing.

Publish to Xero

From Hubdoc, publish the document into the Xero workflow that fits your organization's setup. Keep review in place for new or sensitive suppliers so the accounting result is checked before reconciliation.

Alternative path: If you want the Xero-native document path, email to the Xero document destination shown in your account, such as a xero.inbox.[code]@xerofiles.com document inbox address. For draft bill creation, use the bill email address shown in Xero, such as bills.[code]@xerofiles.com. Confirm the result in Xero because product labels and supported document behavior can vary by account and region.

File Format and Size Requirements

File requirements differ between Xero's built-in email inboxes and Hubdoc. Here's what each system accepts.

  • Portal links — Download the actual source document before relying on a Xero or Hubdoc workflow
  • XLS / CSV — Not listed in Hubdoc's current data-extraction file types
  • Password-protected PDFs — May require a readable unlocked copy before extraction works

Xero Email-to-Bills

  • Accepted: use the current file guidance shown in Xero for your account
  • Max size: verify current limits in Xero before building a forwarding workflow
  • Note: reserve Email-to-Bills for supplier bills that should enter draft bill review

Hyperlinks won't work: Some e-receipts (Amazon, Apple, Google) include a “View your receipt” link instead of attaching the actual receipt. A portal link may still require downloading the actual receipt file before any Xero or Hubdoc destination has the source document. Expensent should surface these as download or review tasks instead of blindly forwarding a link-only notice.

Why are my emailed receipts not appearing in Xero?

Check these common causes: (1) You sent the document to a different Xero or Hubdoc destination than the one you are checking. (2) The document is still waiting for extraction, review, or publishing. (3) The file is unreadable, unsupported, password-protected, or over the relevant limit. (4) Gmail forwarding was not verified for that destination. (5) You expected a completed transaction when the destination creates a draft or review item.

Can I auto-forward receipts from Gmail to Xero?

Not reliably with basic Gmail forwarding. Google says forwarding addresses must be verified or otherwise eligible under Workspace rules. Generated Xero or Hubdoc intake addresses are often not normal inboxes the user can open to complete that verification. Expensent avoids relying on Gmail forwarding settings by connecting through OAuth and routing from the app workflow.

What file types does Hubdoc accept via email?

Hubdoc says its data extraction can read PDF, JPEG, PNG, IMG, HTML, HEIF, HEIC, and plain text files. Hubdoc also says documents can be emailed with an attachment or information in the email body. Current Hubdoc guidance lists a 35 MB maximum single-document size and a 300-document upload limit per 24 hours.

What is Hubdoc auto-fetch?

Hubdoc can fetch documents from supported supplier connections in some workflows. Treat that as separate from email forwarding: email forwarding delivers documents you already received, while fetch-style connections depend on provider support and credentials. Verify available connections inside your Hubdoc account.

Does Xero have a native receipt-to-expense email like Expensify?

Xero does not present receipt intake as one generic receipts@ address. Current Xero pages describe Smart Document Capture, Xero email/upload paths, and bill workflows where users review captured data before creating or publishing records.
