Stop relying on memory to forward receipts to Xero. Expensent helps detect invoice emails in your inbox and route reviewed or rule-matched messages to your @xerofiles.com or @app.hubdoc.com address for reconciliation. Review the first examples, create narrow rules from real email patterns, and reduce repeat manual forwarding.

This page focuses on the Xero receipt handoff: which destination to use, what Xero does after the Xero forwarding address receives the email, and where Expensent adds review before forwarding.

The Manual Forwarding Problem

Xero's document capture tools are useful after documents arrive. The recurring problem is getting the right receipt emails into the right Xero destination:

  • Recurring SaaS subscriptions, marketplace orders, and business expenses
  • Invoices get buried in your inbox and forgotten
  • Month-end reconciliation becomes a treasure hunt
  • Your accountant is missing documentation for expenses

Automatic Xero Email Forwarding with Expensent

Expensent finds invoice emails in your inbox and shows what needs to happen next — ready to forward, needs a download, or needs review. Forward to your @xerofiles.com address with one click, or create a rule from a reviewed pattern so future matching invoices can be routed to the same destination.

  • Intelligent detection: AI-powered detection recognizes invoice patterns across vendors—not limited to a fixed list
  • Xero routing: Review receipts by next action before forwarding them to Xero
  • Historical backfill: Catches up on past invoices from your inbox
  • Xero review: Forward selected receipts now, or create a rule from the reviewed email pattern for future arrivals
  • Xero paper backup: Capture paper receipts with the phone scanner when the source document never arrived by email
  • Full control: CC your team on forwarded emails, attach notes to rules, filter by attachment type, or skip $0 invoices — control how selected invoices are routed to Xero

How Xero Receipt Email Forwarding Works

Xero shows organization-specific email destinations for receiving documents. For Xero Files, the address may use a format like xero.inbox.example@xerofiles.com. Use the address shown inside your own Xero organization, not a sample address from an article. You can also use Hubdoc, a Xero-owned document capture tool included with current Xero business plans listed in the Xero App Store, via an address like your-org@app.hubdoc.com

  • Xero Smart Document Capture can extract details from supported documents; Hubdoc also extracts key financial data after upload, email, mobile capture, or scanning
  • Hubdoc officially lists PDF, JPEG, PNG, IMG, HTML, HEIF, HEIC, and plain text as readable file types, with current limits published by Hubdoc
  • Files can be attached to transactions for reconciliation
  • Xero can match documents and transactions for user review

To find your address: In Xero or Hubdoc, open the document capture, Files, bill intake, or upload area you plan to use and copy the destination address shown for your organization.

Xero Receipt Forwarding FAQ

How do I automatically forward receipts to Xero?
Connect your email to Expensent and set the Xero or Hubdoc destination shown in your account as your forwarding destination. Expensent finds invoice emails and shows what needs to happen next. Forward with one click, or create a rule for future emails with the same reviewed sender-and-subject pattern.
What is the Xero Files inbox email address?
Xero shows an organization-specific email address for receiving documents. Use the address shown inside your own Xero organization rather than copying a sample address. For document capture in Hubdoc, use the unique Hubdoc email shown in Hubdoc or your Xero Hubdoc setup.
How long does Xero receipt automation take to set up?
Most teams can start with a short setup: connect email with OAuth, add the Xero or Hubdoc destination shown in your account, review the first invoice examples, and create rules only for patterns you trust.
What file types does Xero accept via email?
Xero Smart Document Capture currently extracts data from PDF, JPG, and PNG files that are under 25 MB and up to 10 pages long. The broader Xero file library accepts additional formats, but those formats do not all support data extraction. Hubdoc officially lists PDF, JPEG, PNG, IMG, HTML, HEIF, HEIC, and plain text, with a 35 MB single-document limit and 1,000 emailed or manually uploaded documents per 24 hours. Always verify current limits in Xero or Hubdoc before relying on a new workflow.
What types of receipts does Expensent detect for Xero?
Expensent uses AI to detect invoice patterns across vendors including SaaS subscriptions, travel, restaurants, office supplies, and more. It can forward supported PDF, JPG, and PNG attachments, or approved body-proof invoice emails, to the Xero or Hubdoc destination you configure.
Is my email data secure when forwarding to Xero?
Expensent uses OAuth 2.0 authentication, so your email password is not stored by Expensent. You choose which Xero or Hubdoc destination to use, and reviewed invoice patterns can become forwarding rules.

How Inbox-to-Accounting Email Workflows Work

Expensent connects to your email inbox and uses AI to surface likely invoice and receipt emails. Each document is grouped by what needs to happen next: ready to forward with a PDF attachment, needs a download from the vendor portal, needs your review, or not an invoice. You review the queue and decide what happens next.

Direct Forwarding Where Compatible

For destinations that accept the Expensent-generated message, forward a selected document with one click or create a rule from a reviewed sender and subject pattern. When a tool requires a stricter subject or body format, use the review and handoff path stated on its integration page.

Works With Many Accounting Platforms

Use direct delivery with compatible destinations such as QuickBooks Online, Xero, Expensify, FreshBooks, Ramp, Brex, BILL, Dext, SAP Concur, Wave, Zoho Expense, Hubdoc, Shoeboxed, and others. For a stricter workflow such as Tallie's clean email format, prepare the evidence and complete the documented handoff. Each platform controls how receipts are received, processed, extracted, or matched.

Privacy and Security

Expensent uses OAuth authentication to connect to your inbox - your password is never shared. AI prefilters on email metadata only, so personal emails are filtered out without their content ever being read. You control which documents advance and where supported delivery goes.
