Skip manual forwarding when you can. Expensent connects to Gmail, Outlook, or Google Workspace via OAuth, finds current and historical invoice emails, routes them to your QuickBooks address, and automates recurring sender and subject patterns.
TL;DR
Yes. QuickBooks Online provides a custom forwarding address for each company file. Current Intuit help says customized forwarding addresses end in @assist.intuit.com. If your QuickBooks company shows a qbodocs address or another Intuit-managed destination, use the exact address shown in your QuickBooks Receipts or Accounting settings. You can forward receipts and bills, or compose a new message with PDF, JPG/JPEG, PNG, or GIF attachments. QuickBooks extracts dates, amounts, vendor, and the last four card digits, then places the document in Receipts for review and matching. Your email address must be authorized before this works.
Your QuickBooks forwarding address is the custom email shown inside your QuickBooks Online company. Current Intuit help says the address ends in @assist.intuit.com. To find it, go to All apps or Bookkeeping/Transactions → Accounting or Receipts → Forward from email. Do not copy a sample address from an article or forum — use the exact address QuickBooks shows for that company file, even if it differs from the current help-page examples.
Yes, Intuit now documents a Gmail auto-forward setup for bills and receipts. The practical limitation is that Gmail filters still rely on sender and keyword rules, so they can miss receipts that do not match your filter and forward non-receipt messages that do. Expensent avoids maintaining Gmail filters by connecting to your inbox via OAuth, surfacing invoices it identifies with the next step clear, and letting you forward to the QuickBooks forwarding address with one click or create a rule from an existing email.

QuickBooks Receipt and Bill Forwarding Email
QuickBooks Online uses a company-specific forwarding email address for receipts and bills. Current Intuit help says customized addresses end in @assist.intuit.com. If QuickBooks shows a qbodocs address for your company, use the exact destination shown there. Use the forwarding address shown inside your QuickBooks company, not a sample address from an article or forum. The older generic receipts@quickbooks.com address should not be used for current company-specific forwarding.
How QuickBooks Forwarding Works
- 1.Each QBO company file shows a custom forwarding address in Receipts or Accounting settings (for example,
annasapples@assist.intuit.com, if that is the address QuickBooks shows for your company; use a qbodocs address only if QuickBooks shows it in that company) - 2.You customize the prefix when you first set it up—but once claimed, it cannot be changed
- 3.Emails sent to this address are processed by QuickBooks' OCR engine, which extracts the vendor name, date, amount, and last four card digits
- 4.Extracted receipts appear in the Receipts tab under “For Review”—they are not automatically posted as transactions
Step-by-Step: How to Forward a Receipt to QuickBooks
Once your QuickBooks forwarding address is set up and your sender email is authorized, here's how to forward a receipt or bill:
Open the receipt email
Find the receipt or invoice email in your inbox. This could be from a SaaS provider, airline, retailer, restaurant, utility, or office-supply vendor.
Forward to your QuickBooks forwarding address
Click Forward and enter the forwarding address shown inside your QuickBooks company as the recipient. You can also compose a new email and attach the receipt or bill file directly.
Subject: (anything—QuickBooks ignores the subject line)
Attachment: receipt.pdf (46 KB – 20 MB)
Wait for QuickBooks to process
QuickBooks' OCR engine extracts the vendor name, date, amount, and last four card digits from the receipt, then places the document in the Receipts review flow.
Review and match in QuickBooks
In QBO, go to Bookkeeping → Receipts and find the receipt under “For Review”. Verify the extracted data is correct, match it to an existing bank transaction or create a new expense, and assign the appropriate category.
File Format and Size Requirements
QuickBooks is strict about what it accepts via email. Knowing these limits prevents the frustrating “silent rejection” scenario where you forward a receipt and nothing appears.
| Requirement | Details |
|---|---|
| Accepted Formats | PDF, JPEG, JPG, GIF, PNG |
| Minimum Size | 46 KB — files under this may not appear in the review flow |
| Maximum Size | 20 MB |
| Receipts Per Email | One receipt per attachment (multiple attachments OK if each is a single receipt) |
| Not Listed by Intuit Help | HEIC, TIFF, BMP, DOC/DOCX, XLS/XLSX, ZIP |
Automate Recurring Receipt Emails
Expensent finds current and historical receipt and invoice emails, sends documents to your QuickBooks forwarding address, and handles recurring sender-and-subject patterns with rules you create.
How Expensent Works with QuickBooks
- 1.Connect your email — Expensent connects via OAuth (Google, Microsoft). No password shared, no app passwords, no Gmail filter setup.
- 2.Enter your QuickBooks forwarding address — Paste your QuickBooks forwarding email as your destination. That's the entire configuration.
- 3.Find current and historical documents : Expensent finds receipt and invoice emails across the connected inbox, including documents that arrived before setup.
- 4.Automate repeat patterns : Create a rule from a confirmed email so future messages with that sender-and-subject pattern route to QuickBooks.
What Expensent Adds Before QuickBooks
- No Gmail filter maintenance — Expensent sends selected invoices from your connected inbox to the QuickBooks forwarding address without you hand-maintaining Gmail filters.
- Visible exceptions : Keep unusual or incomplete messages visible without slowing down routine receipt patterns.
- Handled as rules fire — Matching future invoices are forwarded when the rule runs through Expensent's webhook-based processing. No hourly Apps Script cron job to maintain.
- Historical review — Helps surface past invoices from your inbox so you can review and forward selected backlog items instead of digging through search results by hand.
- Short setup path — Connect your inbox, confirm the QuickBooks destination, and test the first few rules. No scripts to maintain, no filters to update, no IT admin required.
- AI price extraction — reads PDF, JPG, and PNG attachments to pull out the invoice amount, currency, and recipient company name automatically. International invoices display both the original amount and a converted amount using the exchange rate on the invoice date.
- Paper receipt capture (mobile only) — Built-in phone camera scanner with edge detection and perspective correction. Snap a paper receipt, review and adjust, then send it to your accountant’s email directly from Expensent.
- Fine-grained control — CC team members on forwarded emails, attach vendor notes, filter by attachment type, skip $0 invoices, or block invoices you don't want to forward by creating a one-click block rule from the email (matched by email pattern plus subject keywords, not whole sender).

Frequently asked questions
Can you forward receipts to QuickBooks by email?
What is my QuickBooks forwarding email address?
Your QuickBooks forwarding address is the custom email shown inside your QuickBooks Online company. Current Intuit help says the address ends in @assist.intuit.com. To find it, go to All apps or Bookkeeping/Transactions → Accounting or Receipts → Forward from email. Do not copy a sample address from an article or forum — use the exact address QuickBooks shows for that company file, even if it differs from the current help-page examples.
Can Gmail auto-forward receipts to QuickBooks?
Yes, Intuit now documents a Gmail auto-forward setup for bills and receipts. The practical limitation is that Gmail filters still rely on sender and keyword rules, so they can miss receipts that do not match your filter and forward non-receipt messages that do. Expensent avoids maintaining Gmail filters by connecting to your inbox via OAuth, surfacing invoices it identifies with the next step clear, and letting you forward to the QuickBooks forwarding address with one click or create a rule from an existing email.
What file formats does QuickBooks accept for emailed receipts?
QuickBooks Online accepts PDF, JPEG, JPG, GIF, and PNG attachments. Each file must be between 46 KB and 20 MB. Files under 46 KB may not appear in your Receipts tab. Each attachment should contain only one receipt or bill for accurate OCR extraction.
Why are my forwarded receipts not showing up in QuickBooks?
The most common reasons are: (1) Your email address is not enabled in Manage forwarding email. (2) The attachment is under 46 KB. (3) The file format is not supported (only PDF, JPEG, JPG, GIF, PNG). (4) The email contains multiple receipts or bills in one file; QBO expects one document per attachment. (5) The item has not reached the review flow yet. Check your Receipts tab in QuickBooks under "For Review" after giving it time.
Does QuickBooks Desktop support email receipt forwarding?
Not with the QuickBooks Online @assist.intuit.com address. Supported QuickBooks Desktop Plus, Accountant, and Enterprise editions have a separate Receipt Management workflow that can create a custom @qbdesktopdocs.com address. The two systems are not interchangeable, so use the address shown in the specific QuickBooks product and company file you are working in.
Can I send multiple receipts in one email to QuickBooks?
You can attach multiple files to one email, but each attachment should contain only one receipt or bill. QuickBooks creates a separate review item for each attachment, so combining multiple documents into a single PDF or image can result in inaccurate OCR extraction. For best results, send each document as its own attachment.
How do I authorize someone to forward receipts in QuickBooks?
As a QBO admin, go to Receipts → Manage forwarding email. Toggle on each user who should be allowed to forward receipts and bills. The user must have at least standard permissions with Vendor access. Only one email address per user can be registered for a company.
Does QuickBooks automatically categorize forwarded receipts?
QuickBooks uses OCR to extract the vendor name, date, amount, and last four card digits from forwarded receipts, but it does not automatically post transactions. Extracted receipts land in the Receipts tab under "For Review," where you must verify the extracted data, match the receipt to an existing bank transaction (or create a new expense), and assign the appropriate category. The categorization step still requires human review.
Can I use Outlook auto-forwarding rules to send receipts to QuickBooks?
Outlook desktop, Outlook Web, and Microsoft 365 server-side rules behave differently, so test your exact setup with the QuickBooks forwarding address shown in your company before relying on it. The main limitation is that Outlook rules use basic keyword matching, so they can miss receipts that do not contain your trigger keywords and may forward non-receipt emails that happen to match.
Can Expensent automatically forward receipts to QuickBooks?
Yes. Expensent finds current and historical receipt and invoice emails, sends documents to your QuickBooks forwarding address, and automates recurring sender-and-subject patterns with rules you create.
What happened to receipts@quickbooks.com?
The old generic receipts@quickbooks.com address is not the address to use for current QuickBooks Online forwarding. QuickBooks now shows a company-specific forwarding address inside your Receipts or Accounting settings. Current Intuit help says the address ends in @assist.intuit.com. If your company displays a qbodocs address or another Intuit-managed destination, use the exact address displayed in your company file.
