QuickBooks + Expensent

Automatic receipt forwarding to QuickBooks Online

QuickBooks Online is the world's most popular accounting software for small businesses. With their receipt forwarding feature, you can email receipts and bills to a custom address like [yourname]@qbodocs.com—and QuickBooks automatically extracts and categorizes the data. But remembering to forward every receipt? That's where most people fall behind.

The Problem

QuickBooks' email forwarding is great when you remember to use it. But in reality:

  • •You receive dozens of invoice emails each month
  • •Each one needs to be manually forwarded to your @qbodocs.com address
  • •Receipts pile up in your inbox while you're busy running your business
  • •At tax time, you're scrambling to find missing expenses

The Solution: Expensent

Expensent finds every invoice in your inbox and categorizes it — ready to forward, needs a download, or needs review. Forward to your QuickBooks address with one click, or set up auto-forwarding so the next time this invoice comes in, it goes straight to QuickBooks.

  • Smart detection: AI-powered detection recognizes invoice emails from any vendor—not limited to a fixed list
  • Smart categorization: Invoices are sorted automatically—auto-forward, review first, or download from vendor portal
  • Catch-up mode: Finds past invoices in your inbox and sends them to QuickBooks too
  • You're in control: One click to forward any invoice. One click to set up auto-forwarding — next time that invoice arrives, it’s handled automatically.
  • Paper receipts too: Use the built-in camera scanner on your phone to capture paper receipts and forward them to QuickBooks alongside your email invoices
  • Full control: CC your team on forwarded emails, attach notes to rules, filter by attachment type, or skip $0 invoices — customize exactly how your invoices flow to QuickBooks

About QuickBooks Receipt Forwarding

As of October 2020, QuickBooks Online uses customizable email addresses in the format [yourname]@qbodocs.com. When you forward receipts to this address:

  • •QuickBooks extracts key details from the receipt
  • •Transactions are automatically categorized
  • •Receipts are attached to the matching transaction

To find your address: In QuickBooks Online, go to Bookkeeping (or Transactions) → Receipts → Forward from email. You can customize your email prefix there.
