Automatic Wave Receipt Forwarding

Receipt forwarding workflow for Wave Accounting

By ilios Galil · Founder, Expensent

Published December 1, 2024 · Updated June 24, 2026

Wave offers accounting software for small businesses and freelancers, with receipt scanning and forwarding available through eligible paid receipt access. With Wave's receipt email forwarding feature, you can forward receipts to your Wave forwarding address and have Wave create expense transactions with receipts attached. But Wave processes one receipt per forwarded email, so manual forwarding still becomes repetitive.

This page focuses on the Wave receipt handoff: which destination to use, what Wave does after the Wave forwarding address receives the email, and where Expensent adds review before forwarding.

The Problem

Wave's receipt forwarding is convenient, but requires consistent manual action:

  • •You must forward each receipt email one at a time
  • •Busy freelancers forget to forward receipts in the moment
  • •Receipts accumulate in your inbox, unfiled
  • •Tax season arrives with missing expense documentation

The Solution: Expensent

Expensent finds likely invoice and receipt emails in your inbox and shows what needs to happen next — ready to forward, needs a download, or needs review. Forward to your Wave address with one click, or set up auto-forwarding for recurring patterns you trust.

  • Smart detection: AI-powered detection recognizes receipts across many vendors—not limited to a fixed list
  • Wave routing: Review receipts by next action before forwarding them to Wave
  • Auto transactions: Wave can create expense transactions from forwarded receipts once they reach your Wave forwarding address
  • Wave review: Forward selected receipts now, or create a rule from the reviewed email pattern for future arrivals
  • Paper receipt capture: Built-in phone camera scanner for paper receipts—capture the receipt, then send the supported file where it belongs
  • Wave controls: Use CCs, notes, attachment filters, zero-dollar skips, and sender blocks before forwarding

About Wave Receipt Email Forwarding

Wave allows you to create a receipt forwarding email address through Receipts in a web browser or in the Wave mobile app. Wave shows the real address after setup; use a placeholder like wave-forwarding@example.com only in setup notes until you paste the real destination. Wave says a saved forwarding email cannot be changed. When receipts are forwarded to the address:

  • •Wave automatically scans the receipt
  • •An expense transaction is created with the receipt attached
  • •Only one receipt per email is processed

To set up: In Wave, open Receipts and choose Create email forwarding address or Forward via email. In the mobile app, go to Accounting → Receipts → tap the three dots → Create forwarding address. This feature requires a Wave Receipts Plan or Pro Plan subscription, and Wave processes one receipt per forwarded email.

Wave Receipt Forwarding FAQ

How do I automatically forward receipts to Wave?
Connect your email to Expensent and set your Wave receipt forwarding address as your destination. Expensent finds likely invoice and receipt emails and shows what needs to happen next. Forward with one click, or set up auto-forwarding for trusted recurring patterns.
What is Wave receipt email forwarding?
Wave allows you to create a custom forwarding email address for receipts. Use the destination Wave creates for your business; wave-forwarding@example.com is only an example placeholder for setup notes. When receipts are sent to the address Wave creates for your business, Wave can scan them and create expense transactions. Expensent helps by detecting likely invoice and receipt emails and forwarding selected or rule-matched emails to Wave.
Does Wave have an email address for receipts?
Yes. Wave lets eligible users create a receipt forwarding email address from Receipts in the web app, or in the mobile app by going to Accounting > Receipts > tap the three dots > Create forwarding address. This feature requires a Wave Receipts Plan or Pro Plan subscription.
Can Expensent work with Wave Accounting?
Yes. Expensent works with Wave Accounting by forwarding invoice emails to your Wave forwarding address. Wave can then create expense transactions with receipts attached.
What types of receipts does Expensent detect?
Expensent uses AI to detect likely invoice and receipt emails across vendors such as SaaS subscriptions, travel, restaurants, and office supplies. It can forward the email with supported PDF, JPG, and PNG attachments while respecting Wave’s one-receipt-per-email forwarding rule.
Is my email data secure?
Expensent connects through OAuth 2.0, so you do not share your email password with Expensent. The AI prefilter uses email metadata first, then routes likely financial documents for the next review or forwarding step.

How Automatic Invoice Forwarding Works

Expensent connects to your email inbox and uses AI to surface likely invoice and receipt emails. Each document is grouped by what needs to happen next: ready to forward with a PDF attachment, needs a download from the vendor portal, needs your review, or not an invoice. You review the queue and decide what happens next.

One-Click Forwarding and Auto-Forwarding Rules

Forward a selected invoice to your accounting software with one click. Or create an auto-forwarding rule from a reviewed email and subject pattern so future arrivals can follow the same route. Rules are created from existing emails with one click.

Works With Many Accounting Platforms

Forward receipts to QuickBooks Online, Xero, Expensify, FreshBooks, Ramp, Brex, BILL, Dext, SAP Concur, Wave, Zoho Expense, Hubdoc, Emburse, Pleo, Rydoo, Divvy, Revolut Business, or another reviewed forwarding destination. Each platform has its own rules for how receipts are received, processed, extracted, or matched.

Privacy and Security

Expensent uses OAuth authentication to connect to your inbox — your password is never shared. AI prefilters on email metadata only, so personal emails are filtered out without their content ever being read. You control which invoices are forwarded and where they go.
