Automatic Ramp Receipt Forwarding

Forward receipts to receipts@ramp.com automatically

By ilios Galil · Founder, Expensent

Published December 1, 2024 · Updated March 28, 2026

Stop manually forwarding receipts to Ramp. Expensent automatically detects invoice emails in your inbox and forwards them to receipts@ramp.com for automatic transaction matching with your Ramp corporate card. Set it up once in 5 minutes, and never forward a receipt manually again.

Ramp uses OCR technology to automatically match emailed receipts to corporate card transactions, supporting JPG, PNG, and PDF attachments. Expensent eliminates the manual step of forwarding each receipt individually—Expensent handles it automatically.

What is Ramp?

Ramp is a modern corporate card and expense management platform founded in 2019 and headquartered in New York City. Used by over 50,000 businesses—including well-known companies like Shopify, Discord, Figma, and Notion—Ramp combines corporate cards with AI-powered spend management software to help companies control expenses.

  • •Free corporate card & expense management — Ramp's base tier is free, including unlimited employee cards
  • •AI-powered receipt matching — OCR technology extracts vendor, amount, and date for automatic categorization with GL code assignment
  • •30+ accounting integrations — Syncs with QuickBooks, NetSuite, Sage Intacct, Xero, Workday, Dynamics 365, and more
  • •Bill pay, travel & procurement — Full-platform spend management beyond just expense reports

The Manual Forwarding Problem

Ramp's receipt matching is powerful, but still requires you to manually forward each receipt to receipts@ramp.com:

  • •Each email receipt must be forwarded to receipts@ramp.com manually
  • •Missing receipts hold up expense reports and compliance
  • •Finance teams waste time chasing employees for documentation
  • •Transactions sit unmatched waiting for receipts
  • Cards get locked—Ramp can automatically lock corporate cards when receipts are overdue, disrupting employee spending

Prerequisites: Before You Forward Receipts

  • 1.Authorize your email address in Ramp. Go to Settings > Personal Settings > Edit Profile > Integrations and add the email address you'll send receipts from. Emails from unauthorized addresses may not be processed.
  • 2.File format requirements. Ramp accepts JPG, JPEG, PNG, and PDF attachments. Other formats are not processed.
  • 3.Card transaction required for matching. Ramp matches receipts to existing card transactions. If there is no matching transaction, the receipt goes to unmatched items for manual review.

Automatic Ramp Email Forwarding with Expensent

Expensent finds every invoice in your inbox and categorizes it — ready to forward, needs a download, or needs review. Forward to receipts@ramp.com with one click, or set up auto-forwarding so the next time this invoice comes in, it goes straight to Ramp.

  • Smart categorization: Invoices are sorted automatically—auto-forward, review first, or download from vendor portal
  • Any vendor: AI-powered detection recognizes receipts from any vendor—not limited to a fixed list
  • You're in control: One click to forward any invoice. One click to set up auto-forwarding — next time that invoice arrives, it’s handled automatically.
  • Prevent card lockouts: Keep your Ramp account in good standing—no more card locks due to missing receipts
  • Paper receipts too: Built-in phone camera scanner for paper receipts—capture and forward them to Ramp alongside your email invoices
  • Fine-grained control: CC your team on forwarded receipts, add vendor notes, filter by attachment type, skip $0 invoices, or block senders you don’t need

How Ramp Receipt Email Forwarding Works

Ramp allows users to forward email receipts to receipts@ramp.com. When receipts are sent to this address, Ramp's AI-powered OCR engine processes them:

  • •Automatic transaction matching — Ramp pairs receipts to corporate card transactions using vendor name, amount, and date extraction
  • •GL code assignment — Machine learning automatically categorizes expenses based on your company's predefined rules
  • •Supports JPG, JPEG, PNG, and PDF attachments
  • •You can add memos by including “Memo: [text]” in the email body
  • •According to Ramp, 95% of receipts are captured and matched on the same day

Pro tip:You can authorize additional email addresses to forward receipts in Settings → Personal Settings → Edit Profile → Integrations.

Supported File Formats & Limits

Accepted Formats

  • •JPG / JPEG— Image files
  • •PNG— Image files
  • •PDF— Document files

Not Processed

  • •HTML email body— Receipts as email content
  • •Other formats— DOC, XLS, etc.

Many vendors (airlines, SaaS subscriptions, online retailers) send receipts as HTML in the email body, not as file attachments. Ramp only processes file attachments.

Ramp Receipt Submission Methods

Ramp offers several ways to submit receipts beyond email forwarding:

  • Email to receipts@ramp.com — Forward receipt emails for OCR matching (what Expensent automates)
  • •SMS— Text receipt photos directly to Ramp
  • •Slack integration — Upload receipts via Slack
  • •Microsoft Teams— Submit receipts via Teams
  • •Mobile app— Scan or upload receipts directly from your phone

While Ramp offers many submission channels, email forwarding remains the primary method for digital receipts and invoices that arrive via email. None of these methods automatically capture receipts from your inbox—that's the gap Expensent fills.

Ramp Receipt Forwarding FAQ

How do I automatically forward receipts to Ramp?
Connect your email to Expensent and set receipts@ramp.com as your forwarding destination. Expensent finds invoice emails and categorizes them. Forward with one click, or set up auto-forwarding — next time that invoice comes in, it’s handled automatically.
Can I set up email forwarding to receipts@ramp.com?
Yes! That's exactly what Expensent does. Unlike Gmail's native forwarding (which requires verification from Ramp), Expensent sends emails on your behalf directly to receipts@ramp.com without any verification needed.
How long does Ramp receipt automation take to set up?
Just 5 minutes. Connect your email with OAuth (no password needed), enter receipts@ramp.com as your destination, and you're done. Expensent finds your invoice emails and starts forwarding them.
Will Ramp match the receipts to my transactions?
Yes! When Expensent forwards receipts to receipts@ramp.com, Ramp uses OCR and AI-powered matching to automatically pair them with your corporate card transactions. Ramp extracts vendor name, amount, and date from the receipt. If no matching transaction exists yet, the receipt is stored for manual review.
What types of receipts does Expensent detect?
Expensent uses AI to detect invoice emails from any vendor—SaaS subscriptions (AWS, GCP, Vercel), travel (airlines, hotels), restaurants, office supplies, and more. It forwards the email along with its PDF, JPG, and PNG attachments.
Is my email data secure?
Absolutely. We use OAuth 2.0 authentication (we never see your password), bank-level encryption. AI prefilters on email metadata only—personal emails are filtered out without their content ever being read.
What file formats does Ramp accept via email?
Ramp accepts JPG, JPEG, PNG, and PDF attachments sent to receipts@ramp.com. Receipts embedded in the HTML email body (common with SaaS subscriptions, airlines, and online services) are not processed by Ramp directly.
Why are my receipts not matching in Ramp?
Common reasons: (1) The receipt was sent from an unauthorized email address—check Settings > Personal Settings > Edit Profile > Integrations. (2) There is no matching card transaction yet—Ramp needs an existing transaction to match against. (3) The file is in an unsupported format—only JPG, JPEG, PNG, and PDF are accepted. (4) The receipt amount or date does not closely match any transaction. Try adding "Memo: [transaction details]" in the email body to help Ramp match.
Can I forward receipts from multiple email addresses to Ramp?
Yes. You can authorize additional email addresses in Ramp under Settings > Personal Settings > Edit Profile > Integrations. Each authorized address can forward receipts to receipts@ramp.com. With Expensent, you can connect multiple email inboxes and have all of them forward to Ramp automatically.
Does Ramp lock my card if I don’t submit receipts?
Yes, Ramp can automatically lock corporate cards when receipts are overdue. This is configurable by your company’s admin under expense policies. Automating receipt submission with Expensent ensures receipts are forwarded as they arrive, preventing card lockouts due to missing documentation.
What accounting software does Ramp integrate with?
Ramp integrates with 30+ accounting platforms including QuickBooks Online, NetSuite, Sage Intacct, Xero, Workday, Microsoft Dynamics 365, Acumatica, and Zoho Books. Once receipts are matched to transactions in Ramp, they sync to your accounting system along with categorized expense data and GL codes.
How is Expensent different from Ramp’s built-in receipt capture?
Ramp offers several ways to submit receipts—mobile app, SMS, Slack, and Microsoft Teams—but none of them automatically capture receipts that arrive in your email inbox. Expensent fills this gap by connecting to your email, using AI to detect invoice emails from any vendor, and forwarding them to receipts@ramp.com automatically. No manual action required.

How Automatic Invoice Forwarding Works

Expensent connects to your email inbox and uses AI to detect every invoice and receipt you receive. Each invoice is categorized by status: ready to forward with a PDF attachment, needs a download from the vendor portal, needs your review, or not an invoice. You see all your invoices in one place and decide what happens next.

One-Click Forwarding and Auto-Forwarding Rules

Forward any invoice to your accounting software with one click. Or create an auto-forwarding rule so the next time that invoice arrives, it goes straight to your destination automatically. Rules are created from existing emails with one click — no manual configuration of sender patterns or subject filters required.

Works With Every Major Accounting Platform

Forward receipts to QuickBooks Online, Xero, Expensify, FreshBooks, Ramp, Brex, BILL, Dext, SAP Concur, Wave, Zoho Expense, Hubdoc, Emburse, Pleo, Rydoo, Divvy, Revolut Business, or any custom email address. Each platform has its own forwarding email where receipts are processed, extracted, and matched to transactions.

Privacy and Security

Expensent uses OAuth authentication to connect to your inbox — your password is never shared. AI prefilters on email metadata only, so personal emails are filtered out without their content ever being read. You control which invoices are forwarded and where they go.
