Automatic Ramp Receipt Forwarding

Forward receipts to receipts@ramp.com automatically

By ilios Galil · Founder, Expensent

Published December 1, 2024 · Updated May 12, 2026

Route receipt and invoice emails to Ramp without building brittle mailbox filters. Expensent identifies likely invoice emails in your inbox and helps send the right ones to receipts@ramp.com for Ramp card receipt matching, with one-click forwarding and rules for recurring sender-and-subject patterns.

Ramp can match receipts sent from authorized addresses to posted Ramp card transactions, and its help center lists JPG, JPEG, PNG, and PDF as supported receipt formats. Expensent helps close the step before that: finding email-heavy receipts and routing eligible ones to the correct Ramp path.

What is Ramp?

Ramp is a modern corporate card and expense management platform headquartered in New York City. Ramp currently says 70,000+ businesses use its platform, and its customer pages feature companies including Shopify and Notion. Ramp combines corporate cards with AI-powered spend management software to help companies control expenses.

  • •Free corporate card & expense management — Ramp's base tier is free, including unlimited employee cards
  • •AI-powered receipt matching — Ramp can match, verify, and suggest accounting details for receipts based on transaction and receipt data
  • •Plan-dependent accounting integrations — Ramp lists QuickBooks Online and Xero on Free, more ERP integrations on Plus, and additional enterprise integrations on Enterprise
  • •Bill pay, travel & procurement — Full-platform spend management beyond just expense reports

The Manual Forwarding Problem

Ramp has strong native receipt workflows, but email-heavy teams still need receipts to reach the right Ramp path:

  • •Card receipts, reimbursements, and vendor invoices use different Ramp destinations
  • •Forwarding only works reliably when the sender is authorized and the charge has posted
  • •Older inbox receipts and HTML-only receipt emails can still need review or manual handling
  • •Finance teams waste time chasing employees for documentation
  • Cards get locked—where configured, Ramp can lock cards when required receipts or items are not submitted on time

Prerequisites: Before You Forward Receipts

  • 1.Authorize your email address in Ramp. Go to Settings > Personal Settings > Edit Profile > Integrations and add the email address you'll send receipts from. Emails from unauthorized addresses may not be processed.
  • 2.File format requirements. Ramp currently lists JPG, JPEG, PNG, and PDF as supported receipt file types, with upload-size and PDF page limits.
  • 3.Card transaction required for matching. Ramp matches receipts to posted card transactions. If the charge has not posted or the receipt does not satisfy matching checks, manual review or assignment may be needed.

Automatic Ramp Email Forwarding with Expensent

Expensent finds likely invoice emails in your inbox and shows what needs to happen next — ready to forward, needs a download, or needs review. Forward card receipts to receipts@ramp.com with one click, or create sender-and-subject rules so recurring receipts can go to Ramp automatically.

  • Ramp routing: Review receipts by next action before forwarding them to Ramp
  • Flexible vendor detection: AI-powered detection can recognize receipts from new and recurring vendors—not just a fixed sender list
  • Ramp review: Forward selected receipts now, or create a rule from the reviewed email pattern for future arrivals
  • Reduce missing-receipt risk: Help required Ramp card receipts get submitted sooner, reducing the chance of policy follow-up or card controls
  • Ramp paper backup: Capture paper receipts with the phone scanner when the source document never arrived by email
  • Ramp controls: Use CCs, notes, attachment filters, zero-dollar skips, and sender blocks before forwarding

How Ramp Receipt Email Forwarding Works

Ramp allows users to forward email receipts to receipts@ramp.com. When card receipts are sent to this address from an authorized sender, Ramp can process them:

  • •Automatic transaction matching — Ramp pairs receipts to Ramp card transactions when matching checks are satisfied
  • •Accounting suggestions — Ramp can predict or suggest accounting categories depending on configuration and workflow
  • •Supports JPG, JPEG, PNG, and PDF receipt files
  • •You can add memos by including “Memo: [text]” in the email body

Pro tip:You can authorize additional email addresses to forward receipts in Settings → Personal Settings → Edit Profile → Integrations.

Supported File Formats & Limits

Accepted Formats

  • •JPG / JPEG— Image files
  • •PNG— Image files
  • •PDF— Document files

May Need Review

  • •HTML-only receipt emails— May need the original vendor email, a saved PDF, or manual upload if matching fails
  • •Other formats— DOC, XLS, etc.

Ramp's public receipt docs list JPG, JPEG, PNG, and PDF as supported receipt file types, with a 60MB maximum receipt upload size, a 10MB web submission limit, and a 50-page PDF limit.

Ramp Receipt Submission Methods

Ramp offers several ways to submit receipts beyond email forwarding:

  • Email to receipts@ramp.com — Forward eligible Ramp card receipt emails (what Expensent routes)
  • •SMS— Text receipt photos directly to Ramp
  • •Slack integration — Upload receipts via Slack
  • •WhatsApp— Send a receipt through Ramp's WhatsApp submission flow
  • •Mobile app— Scan or upload receipts directly from your phone
  • •Employee Gmail mailbox — Connect work Gmail to Ramp for automatic receipt capture where enabled
  • •Auto-capture— Ramp can retrieve receipts from select merchants and connected merchant accounts

Ramp also has native mailbox and merchant capture. Expensent focuses on the review-and-routing layer before eligible inbox receipts are forwarded to the right Ramp destination.

Ramp Receipt Forwarding FAQ

How do I automatically forward receipts to Ramp?
Connect your email to Expensent and set receipts@ramp.com as your forwarding destination. Expensent finds invoice emails and shows what needs to happen next. Forward with one click, or set up auto-forwarding — next time that invoice comes in, it’s handled automatically.
Can I set up email forwarding to receipts@ramp.com?
Yes. Expensent sends through your connected mailbox after OAuth, so Ramp still sees the sender address. Make sure that address is authorized for receipt forwarding in Ramp before relying on matching.
How long does Ramp receipt automation take to set up?
Setup time depends on how many inboxes and rules you configure. The core workflow is to connect your email with OAuth, add the Ramp destination, review the invoices Expensent finds, and create rules for recurring receipts.
Will Ramp match the receipts to my transactions?
Ramp can match receipts sent to receipts@ramp.com with posted Ramp card transactions when its matching conditions are met. Ramp documents amount and merchant/date checks, and unmatched receipts may require manual assignment.
What types of receipts does Expensent detect?
Expensent uses AI to detect invoice emails from new and recurring vendors, including SaaS, travel, restaurants, and office-supply workflows. It can forward supported PDF, JPG, and PNG attachments when they are available.
Is my email data secure?
Expensent uses OAuth authentication where supported, so we do not see your email password. The product is designed to prefilter with metadata first and analyze invoice candidates only when needed for classification and forwarding.
What file formats does Ramp accept via email?
Ramp currently lists JPG, JPEG, PNG, and PDF as supported receipt file types. Ramp also publishes a 60MB maximum receipt upload size, a 10MB limit for web submissions, and a 50-page maximum for PDFs.
Why are my receipts not matching in Ramp?
Common reasons: (1) the sending address is not authorized in Ramp, (2) the receipt went to the wrong Ramp inbox for its workflow, (3) the card charge has not posted, (4) the file is outside Ramp’s supported formats or limits, or (5) the amount, merchant, or date does not satisfy Ramp’s matching checks.
Can I forward receipts from multiple email addresses to Ramp?
Yes. Ramp lets users add additional receipt forwarding addresses under Settings > Personal Settings > Edit Profile > Integrations, and notes that an additional address can be linked to only one Ramp account. Company-wide matching requires a Ramp Support request.
Does Ramp lock my card if I don’t submit receipts?
Ramp pricing and policy documentation indicate that card auto-locking can be configured when required receipts or items are not submitted on time. Expensent helps reduce that risk by routing recurring receipt emails sooner; it does not override Ramp policies.
What accounting software does Ramp integrate with?
Ramp’s current pricing page lists plan-dependent accounting integrations. The Free tier lists QuickBooks Online and Xero; Plus adds integrations such as NetSuite, Sage Intacct, Acumatica, and Microsoft Dynamics 365 Business Central; Enterprise lists Workday, Oracle Fusion Cloud, and Microsoft Dynamics F&O.
How is Expensent different from Ramp’s built-in receipt capture?
Ramp has native receipt submission, employee Gmail mailbox capture, merchant auto-capture, auto-generated receipt, matching, and verification workflows. Expensent is useful when finance teams want a separate inbox review layer, historical catch-up, multi-inbox routing, and sender-and-subject rules before forwarding eligible card receipts to Ramp.

How Automatic Invoice Forwarding Works

Expensent connects to your email inbox and uses AI to surface likely invoice and receipt emails. Each document is grouped by what needs to happen next: ready to forward with a PDF attachment, needs a download from the vendor portal, needs your review, or not an invoice. You review the queue and decide what happens next.

One-Click Forwarding and Auto-Forwarding Rules

Forward a selected invoice to your accounting software with one click. Or create an auto-forwarding rule from a reviewed email and subject pattern so future arrivals can follow the same route. Rules are created from existing emails with one click.

Works With Many Accounting Platforms

Forward receipts to QuickBooks Online, Xero, Expensify, FreshBooks, Ramp, Brex, BILL, Dext, SAP Concur, Wave, Zoho Expense, Hubdoc, Emburse, Pleo, Rydoo, Divvy, Revolut Business, or another reviewed forwarding destination. Each platform has its own rules for how receipts are received, processed, extracted, or matched.

Privacy and Security

Expensent uses OAuth authentication to connect to your inbox — your password is never shared. AI prefilters on email metadata only, so personal emails are filtered out without their content ever being read. You control which invoices are forwarded and where they go.
