1. What is Wave?

Wave is a free accounting platform designed for small businesses, freelancers, and solopreneurs. It offers invoicing, financial reporting, and bank connections at no cost. Wave is popular among solo operators and micro-businesses because its core accounting features are genuinely free—not a trial, not a limited plan.

However, Wave's more advanced features—including receipt scanning and email forwarding—require the Wave Pro Plan at $25/month. This is important to understand before attempting to email receipts to Wave: it will not work on the free plan.

2. Wave's Receipt Email Address

Unlike some accounting tools that use a single shared email address, Wave generates a unique forwarding address for each user. The general domain is receipts@waveapps.com, but you do not send directly to that address. Instead, you create your own personalized forwarding address through the Wave mobile app.

Important: You cannot simply send receipts to receipts@waveapps.com directly. You must first create your unique forwarding address in the Wave mobile app. Without this step, your emails will not be processed.

How Wave's Forwarding Address Works

Each Wave Pro Plan user gets a unique email address (e.g., fw-abc123xyz@waveapps.com). This address is tied to your specific Wave account. When you forward a receipt email to this address, Wave:

  1. Extracts the attached file(s) from the email
  2. Creates a new expense transaction in your account
  3. Attaches the receipt image/PDF to that transaction

3. Prerequisites: Before You Email Receipts

Before you can email receipts to Wave, there are three critical requirements. Missing any of them means your receipts will be silently ignored.

Wave Pro Plan Required ($25/month)

This is the most important requirement. Receipt forwarding by email is a Pro Plan-only feature. The free version of Wave does not include it. If you are on the free plan, you will not see the option to create a forwarding address, and any emails sent to Wave will not be processed.

The Pro Plan costs $25 per month and includes unlimited receipt scanning, email forwarding, and receipt storage. You can upgrade from Settings > Plans & Subscriptions in the Wave web app.

Must Send from Your Primary Wave Email

Wave only processes receipt emails sent from the primary email address associated with your Wave account. If you forward a receipt from a different email address —even one you own—Wave will silently ignore it.

No error, no bounce, no notification. The receipt simply does not appear. Make sure the email you forward from is the exact same email you use to log into Wave.

Mobile App Required for Setup

As of 2026, the only way to create your receipt forwarding address is through the Wave mobile app (iOS or Android). You cannot create the forwarding address from Wave's desktop web interface. Once the address is created, you can forward emails from any email client (desktop or mobile).

4. Step-by-Step: How to Email a Receipt to Wave

Once you have the Pro Plan and the Wave mobile app installed, here's how to set up and use receipt forwarding:

Open the Wave mobile app

Download the Wave app from the App Store (iOS) or Google Play (Android) if you haven't already. Log in with your Wave account credentials. Make sure you are on the Pro Plan before proceeding.

Create your forwarding address

Navigate to Accounting > Receipts. Tap the three-dot menu (⋮) in the top-right corner and select "Create forwarding address." Wave generates a unique email address tied to your account. Copy this address—you'll need it to forward receipts.

Verify your setup

Send a test email from your primary Wave email address to your new forwarding address. Attach a simple receipt image or PDF. Wait a few minutes, then check the Receipts section in the Wave app to confirm it appeared as a new expense transaction.

Forward receipt emails

From now on, forward any receipt email to your unique Wave forwarding address. Make sure to forward from your primary Wave email, and ensure the receipt is included as a file attachment (JPG, PNG, GIF, or PDF). Wave creates an expense transaction automatically for each receipt.

Tip: Save your Wave forwarding address as a contact in your email client (e.g., "Wave Receipts") so you can quickly forward receipts without looking up the address each time.

5. File Formats and Requirements

Wave has specific limits on what files you can send via email.

  • •PDF — Document files

Maximum: 5 MB per file, 10 files per email

  • •HTML email body — Receipts as email content
  • •Files over 5 MB — Too large

The HTML Body Receipt Gap

Like most accounting tools, Wave only processes file attachments. Receipts embedded in the email body as HTML are ignored. This is a significant limitation because many vendors send receipts as HTML content rather than attachments:

  • •SaaS subscriptions — Monthly billing emails from software vendors
  • •Online retailers — Order confirmations and receipts
  • •Ride services — Uber, Lyft trip receipts
  • •Digital services — App Store, Google Play, streaming services

Forwarding these emails to Wave does nothing—the receipt information is in the HTML body, and Wave only reads file attachments.

6. Auto-Transaction Creation

One of Wave's most useful features is that emailed receipts automatically create expense transactions in your account.

How It Works

When you forward a receipt to your Wave forwarding address, Wave does the following automatically:

  1. Creates a new expense transaction in your Wave account
  2. Attaches the receipt image/PDF to that transaction for your records
  3. Marks the transaction for review so you can categorize it and add notes

Note: Wave's receipt scanning extracts basic data from the receipt (like amount and vendor), but you may need to review and adjust the categorization. The auto-created transaction saves you the step of manually creating entries and uploading receipt images.

7. Mobile-Only Setup (Detailed Walkthrough)

Because the forwarding address can only be created in the mobile app, here is a detailed walkthrough of the setup process:

Step 1.Download the Wave Mobile App

Search for "Wave Invoicing" or "Wave Accounting" in the App Store (iOS) or Google Play Store (Android). Download and install the app, then log in with your Wave account.

Step 2.Navigate to Receipts

In the app, go to Accounting > Receipts. This section shows all your uploaded and forwarded receipts. If you don't see this option, confirm that your account is on the Pro Plan.

Step 3.Open the Three-Dot Menu

Tap the three-dot menu (⋮) in the top-right corner of the Receipts screen. This opens additional options for receipt management.

Step 4.Create Forwarding Address

Select "Create forwarding address" from the menu. Wave generates a unique email address (something like fw-abc123xyz@waveapps.com). Copy this address or save it as a contact in your email app.

Step 5.Test with a Receipt

Send a test email from your primary Wave email address to the forwarding address. Attach a receipt image or PDF. Within a few minutes, check the Receipts section to verify the receipt appeared and a transaction was created.

Verify your setup in the Wave mobile app before forwarding production receipts. Send a test receipt first to confirm everything is working. If the test receipt does not appear, double-check that you are sending from your primary Wave email and that your Pro Plan is active.

9. Troubleshooting

If your receipts aren't appearing in Wave, work through these checks in order:

1.Pro Plan not active

Most common cause. Verify your account is on the Wave Pro Plan ($25/month). Go to Settings > Plans & Subscriptions in the Wave web app. If you are on the free plan, receipt forwarding is not available—no error will be shown, receipts are simply not processed.

2.Wrong sender email address

Wave only processes receipts from your primary account email. Check that the "From" address on your forwarded email matches exactly the email you use to log into Wave. Forwarding from a different email (personal, secondary work, etc.) will be silently ignored.

3.Too many files attached

Wave accepts a maximum of 10 file attachments per email. If you attach more than 10 files, the excess may be ignored. Split large batches into multiple emails with 10 or fewer attachments each.

4.File too large or wrong format

Each file must be under 5 MB and in a supported format (JPG, PNG, GIF, or PDF). Files in other formats (DOC, XLS, HEIC) or over the size limit are silently ignored. Compress or convert files before sending if needed.

5.Forwarding address not created

If you haven't created a forwarding address in the Wave mobile app, there is no address to receive your receipts. Open the mobile app, go to Accounting > Receipts > three-dot menu > Create forwarding address.

6.Receipt is in the email body, not attached

Wave only processes file attachments. If the receipt is embedded in the email body as HTML (common with SaaS subscriptions, online stores, ride services), Wave cannot extract it. You would need to screenshot or save the receipt as a PDF and re-send as a new attachment.
