1. What Is Revolut Business?

Revolut Business is a financial platform for companies of all sizes, offering multi-currency accounts, corporate cards, and expense management as a paid add-on. Revolut Business provides tools for spending, payments, and financial operations in a single app.

When an employee makes a purchase with a Revolut card, the transaction appears in real time. Revolut then expects a receipt to be attached for compliance and bookkeeping. Emailing receipts to your unique Revolut receipt address is one of the fastest ways to match receipts to card transactions.

Key Revolut Business Features

  • •Multi-currency accounts — Hold, send, and receive in 25+ currencies with competitive exchange rates
  • •Corporate cards — Physical and virtual cards with per-employee spending limits
  • •OCR receipt scanning — Automatically extracts data from receipt images and PDFs
  • •AI categorization — Learns your spending patterns and auto-categorizes expenses
  • •Accounting integrations — Syncs with Xero, QuickBooks, FreeAgent, and more

2. Revolut Receipt Email Address

Unlike some expense tools that use a single shared address, Revolut Business gives each account a unique receipt email address. This address is different from your login email and is used exclusively for receipt submissions.

@
Your unique Revolut receipt email

Found in Expenses settings in the Revolut Business app

When you forward a receipt to this address, Revolut's OCR engine extracts the receipt data and matches it to the corresponding card transaction on your account.

How to Find Your Receipt Email

  1. Open the Revolut Business app
  2. Go to Expenses settings
  3. Find your unique receipt email address — copy it

Important: You must forward receipts from the email address you use to log in to Revolut Business. Revolut uses the sender's email to identify your account. Send receipts to the unique receipt email found in Expenses settings — never to your login email.

3. Prerequisites: Before You Email Receipts

Before forwarding your first receipt to Revolut Business, make sure these requirements are met.

Active Revolut Business Account

You need an active Revolut Business account with at least one corporate card (physical or virtual). Your company admin must have added you as a team member and assigned you a card. Without an active account, forwarded receipts have no account to match to.

Know Your Two Email Addresses

There are two emails involved: (1) your login email (the address you sign in with), and (2) your unique receipt email (found in Expenses settings). You forward receipts from your login email to the receipt email. Revolut uses the sender address to identify your account.

File Requirements

Revolut processes both file attachments (PDF, JPEG, PNG — max 6 MB) and HTML email bodies. Attachments provide the best OCR accuracy, but receipts embedded in the email body are also accepted.

4. Step-by-Step: How to Email a Receipt to Revolut

Follow these steps to email a receipt to your Revolut Business account.

1Find your Revolut receipt email address

Open the Revolut Business app. Go to Expenses settings and copy the unique receipt email address shown there. This is the address you will forward receipts to.

2Forward the receipt email

Open the receipt email in your inbox and forward it to your Revolut receipt address. You must send from the email address you use to log in to Revolut Business—Revolut uses the sender to identify your account. Ensure any file attachments (PDF, JPEG, or PNG, max 6 MB) are included. Revolut also accepts HTML body receipts.

3Revolut OCR processes the receipt

Revolut's OCR engine automatically extracts the vendor name, amount, date, and currency from the receipt attachment. It then attempts to match the receipt to the corresponding card transaction in your account.

4Verify in the Revolut Business app

Open the Revolut Business app and check the transaction. The receipt should appear attached to the matched transaction. If it was not auto-matched, you can manually attach it from the unmatched receipts section.

5. File Formats and Requirements

Revolut's OCR engine works best with clear, well-formatted receipts. Here is what is accepted and what is not.

Accepted Formats

  • PDF — Invoice and receipt documents
  • JPEG / JPG — Receipt photos and scans
  • PNG — Screenshot receipts
  • HTML email body — Receipts embedded in the email

Max file size: 6 MB per attachment

Not Processed

  • •ZIP archives — Compressed files not supported
  • •Word / Excel — .docx, .xlsx not supported
  • •Files over 6 MB — Exceeds size limit

Tip: Revolut accepts HTML body receipts, but for complex receipts (multi-page invoices, detailed tables), attaching a PDF gives the OCR engine the best chance of accurate extraction.

6. OCR and AI Categorization

Revolut Business goes beyond simple receipt storage. Its OCR engine and AI work together to extract data, match transactions, and categorize expenses automatically.

OCR Data Extraction

When a receipt arrives at your Revolut receipt email, Revolut's OCR engine scans it and auto-fills: tax rates, transaction amounts, dates, and vendor name. It even highlights mismatches between the receipt and the card transaction. Revolut reports matching accuracy of up to 98%.

AI Learning and Auto-Categorization

Revolut's AI learns your spending patterns over time. As you categorize expenses, the system remembers and auto-categorizes similar future transactions. For example, if you consistently categorize a coffee shop as "Meals", future transactions at that merchant will be auto-categorized the same way.

Custom Categories

Admins can create custom expense categories that match their chart of accounts. The AI uses these custom categories alongside default ones, so the categorization aligns with your specific accounting structure.

7. Business API Access

For businesses that want programmatic access to expense data, Revolut Business offers a Business API for retrieving and managing expenses.

Grow, Scale, and Enterprise Plans

The Business API, custom approval processes, and some accounting integrations are available on Grow, Scale, and Enterprise plans only. Free and basic plans can still use email-based receipt submission, mobile upload, and web upload.

What the API Does

The API lets you retrieve submitted expenses programmatically, fetch receipts linked to specific expenses, and set up webhooks for real-time transaction notifications. This enables syncing expense data to accounting tools and building custom workflows. Receipt submission itself is done via email forwarding, mobile upload, or web upload—not via the API.

Email works on all plans: The receipt email address and Expenses add-on are available on every Revolut Business plan (for an additional fee per team member/month). You do not need API access to forward receipts by email.

8. Spend Controls and Approval Workflows

Revolut Business includes built-in spend controls that work alongside receipt management. Understanding these helps explain how receipts fit into the broader expense workflow.

Per-Employee Spending Limits

Admins can set spending limits per employee, per card, or per category. Limits can be daily, weekly, or monthly. When an employee exceeds their limit, the card is automatically declined.

Custom Approval Workflows (Grow+ Only)

On Grow, Scale, and Enterprise plans, you can build custom approval processes so expenses always reach the right person. The approval request includes the transaction details and any attached receipt. Revolut also supports auto-freezing cards with late expenses, reducing overdue receipt submissions by up to 70%.

Compliance Enforcement

Revolut can flag transactions that are missing receipts after a configurable time period. Finance teams can set policies requiring receipts within 7, 14, or 30 days. Automated forwarding with Expensent ensures receipts are attached promptly, reducing compliance gaps.

9. All Receipt Submission Methods

Revolut Business offers multiple ways to submit receipts. Email forwarding is one of several options:

Mobile AppTake a photo of a paper receipt in the Revolut appIn-person purchases, paper receipts
Web UploadUpload receipt files directly in the Revolut dashboardBulk uploads from desktop

10. Troubleshooting

If your receipts aren't appearing in Revolut or matching correctly, work through these checks:

1.Receipt not appearing in Revolut

Check that: (1) You sent to the correct receipt email (found in Expenses settings), not your login email. (2) You sent from the email address you use to log in to Revolut Business—Revolut uses the sender to identify your account. (3) Any file attachments are under 6 MB. Wait at least 15 minutes before troubleshooting further.

2.Receipt not matching a transaction

Revolut matches receipts to transactions based on amount, date, and vendor. If a receipt is not matched: (1) The transaction may not have been processed yet—wait for it to appear. (2) The receipt amount may not match the transaction (different currency, tip, or tax). (3) You can manually attach it from the unmatched receipts section.

3.OCR extracted wrong data

If the OCR extracted an incorrect amount, date, or vendor name, the receipt image may be unclear or low-resolution. Try forwarding a clearer version. You can also manually correct the extracted data in the Revolut Business app.

4.Email bouncing back

If emails to your Revolut receipt address are bouncing, verify the address is correct. Receipt email addresses are system-generated and may contain random characters. Double-check by copying it directly from the Revolut Business app.

5.Receipt is in the email body, not an attachment

Revolut accepts HTML email bodies as well as file attachments, so forwarding the email should work. If the receipt is not being processed correctly from the HTML body, try saving the email as a PDF and forwarding it as an attachment for better OCR accuracy.

11. Automate It with Expensent
