Workday lets organizations configure an Expense Receipt Email Forwarding Address for their tenant. Expensent finds likely receipt emails in the connected inbox, gives you a review point, and routes approved messages to the Workday destination your organization has configured.

This is an email handoff, not a native Workday API integration. Workday controls the tenant address, sender association, ingestion, Quick Expenses or equivalent queue, policy, approval, and submission.

The Inbox-to-Workday Gap

Workday provides the downstream expense workflow, but receipt emails still need a controlled source decision:

  • The receipt address is tenant-specific and can differ between organizations
  • The sender may need to be listed in Workday Contact Information or meet another local identity rule
  • A sent message can be waiting for ingestion, placed in another queue, or associated with another employee context
  • Broad forwarding rules can create loops, duplicate submissions, or receipts that need manual classification

Review Receipt Emails Before Workday Ingestion

Connect the inbox where receipts arrive, review the sender and file, and route only the messages that fit the configured Workday tenant workflow.

  • Tenant-aware routing: Use the current receipt address shown by your organization instead of a public example
  • Sender review: Confirm the From address can be associated with the intended Workday employee
  • Historical catch-up: Find older receipt emails that still need to reach the Workday expense queue
  • Narrow automation: Create a rule only after one controlled message appears in the expected Workday queue

What Workday Expenses Does After Delivery

Workday receives the message at the organization-configured address and creates an expense item according to the tenant workflow. In the University of Virginia example, the result appears in Quick Expenses on desktop Workday.

  • Administrators configure the Expense Receipt Email Forwarding Address in the Expenses Hub card
  • The address is organization-specific, so an example from another employer is not a safe destination
  • The sender may need to be present in Workday Contact Information before the receipt is associated
  • University of Virginia guidance lists PDF, JPEG, JPG, and PNG for its receipt upload paths
  • Workday also supports tenant-enabled mobile or browser capture and card activity workflows
  • The employee still reviews the receipt, extracted values, policy, and submission state in Workday

Confirm the live tenant address: Ask the Workday administrator for the current destination and sender requirement. Test one clear receipt before creating a rule.

2

Connect the source inbox to Expensent

Use the inbox where receipts arrive and save the exact Workday destination confirmed for the organization.

3

Test one clear receipt

Workday Expenses Email FAQ

What Workday receipt address should I use?
Use the receipt address configured for your organization's Workday tenant. Ask the administrator or follow the Expenses Hub configuration; do not copy another organization's example.
Is this a native Workday integration?
No. Expensent uses the tenant email workflow. Workday remains responsible for ingestion, employee association, expense creation, policy, approval, and submission.
Where does a Workday emailed receipt appear?
The University of Virginia example says it appears in Quick Expenses on desktop Workday. Your tenant may use a different queue or label.
Does email delivery submit a Workday expense?
No. Email creates or ingests an item for review. Confirm the receipt, fields, policy, and submission state inside Workday.
Can Expensent fix a Workday receipt that is missing?
Expensent can show source history and control the approved handoff. Workday remains responsible for tenant ingestion, sender association, and queue visibility.

Get Started

How Inbox-to-Accounting Email Workflows Work

Expensent connects to your email inbox and uses AI to surface likely invoice and receipt emails. Each document is grouped by what needs to happen next: ready to forward with a PDF attachment, needs a download from the vendor portal, needs your review, or not an invoice. You review the queue and decide what happens next.

Direct Forwarding Where Compatible

For destinations that accept the Expensent-generated message, forward a selected document with one click or create a rule from a reviewed sender and subject pattern. When a tool requires a stricter subject or body format, use the review and handoff path stated on its integration page.

Works With Many Accounting Platforms

Use direct delivery with compatible destinations such as QuickBooks Online, Xero, Expensify, FreshBooks, Ramp, Brex, BILL, Dext, SAP Concur, Wave, Zoho Expense, Hubdoc, Shoeboxed, and others. For a stricter workflow such as Tallie's clean email format, prepare the evidence and complete the documented handoff. Each platform controls how receipts are received, processed, extracted, or matched.

Privacy and Security

Expensent uses OAuth authentication to connect to your inbox - your password is never shared. AI prefilters on email metadata only, so personal emails are filtered out without their content ever being read. You control which documents advance and where supported delivery goes.
