How to Email Receipts and Bills to Zoho Books

1. Enable the Zoho Books Documents module
Open Documents from the Zoho Books sidebar. On first use, Zoho Books prompts the organization to enable Autoscan. Documents is the storage and review area for receipts, bills, contracts, and other files that may be attached to accounting transactions.
This workflow belongs to Zoho Books, not Zoho Expense. Use the destination shown in the Books organization and keep the two products separate when a company subscribes to both.
2. Configure the organization email address
Inside Documents, select the message that begins Send your document(s) to. Zoho Books offers a system-generated address and a Choose your own option. Copy the saved value from the organization instead of constructing it from the company name.
The address can receive documents from employees, customers, vendors, and accountants. A supplier can send a bill directly, or a user can forward a receipt already received in Gmail, Outlook, or another inbox.

Confirm the active Zoho Books organization before sharing the address with suppliers or saving it in Expensent.
3. Compare the available capture methods
Email works best for digital receipts and supplier bills that already arrive in an inbox. Zoho Books also accepts direct computer upload, drag and drop, supported cloud-storage imports, and receipt photos from its mobile apps.
Bank statements use a dedicated Bank Statements Inbox and a separate generated forwarding address. Do not mix that destination with the general Documents Inbox for receipts and bills.

4. Understand Autoscan and Inbox states
Autoscan processes emailed and uploaded documents and can extract fields such as date, amount, and merchant. Scan in progress means processing is ongoing; Processed means data was captured and is ready for review.
Zoho Books includes an allocation of scans and offers an add-on after that allocation is exhausted. Confirm the current organization allowance before building a high-volume forwarding rule.
Review the original document and extracted values. Autoscan supports transaction creation and matching, but it does not remove the need to verify vendor, date, amount, tax, currency, and account treatment.
5. Convert, attach, or match the document
Zoho Books suggests matches using details such as vendor, date, and amount. A reviewer can attach the document to an existing transaction or use the extracted data to create an expense or bill.
Once a document is added to a transaction, matched, or moved into a folder, Zoho Books clears it from the Documents Inbox. Search All Files, folders, and the related transaction before assuming the email never arrived.
6. Build a controlled Expensent route
Connect the inbox where receipts and bills arrive, save the verified Zoho Books organization address, and send one recent document. Confirm it reaches the right organization, completes Autoscan, and can be matched or converted.
After the test, create a rule from a specific sender and subject pattern. Keep vendor portal notices and messages without usable evidence in review rather than forwarding them automatically.
