1. Verify the organization and sent message

Copy the address again from the active Zoho Books organization and compare it with the recipient in the sent email. A user with several organizations can have the right product but the wrong destination.

Confirm the receipt or bill is actually attached or visible as the document being forwarded. Keep the original message and send time so the support trail can be matched later.

2. Search every valid document location

Start in Documents Inbox, then search All Files and the organization folders. Use filename, merchant, amount, or another known value. Also open likely expenses, bills, and banking transactions to see whether the document was already attached.

Zoho Books removes an item from Inbox after it is matched, added to a transaction, or moved to a folder. That normal lifecycle is the first thing to rule out before resending.

3. Check Autoscan and the organization allowance

Scan in progress means the item has arrived but extraction has not finished. Processed means data was captured. Review the visible status before deciding the receipt is missing.

If the organization has exhausted its included scans and has no additional allocation, scanning behavior may differ from the expected automatic path. Confirm the current allowance and inspect the file even when extraction is unavailable.

4. Check permissions and product boundaries

Folder-level user permissions can limit who sees stored documents. Ask an organization administrator to verify access to the relevant folder and transaction.

Confirm the message went to Zoho Books Documents, not a Zoho Expense forwarding address or the separate Bank Statements Inbox. These destinations do different jobs and do not share one receipt queue.

5. Run one controlled delivery test

Send one clear receipt directly to the copied Documents address. Record the source, recipient, time, filename, organization, Autoscan state, and final location. If the direct send works, inspect the original forwarding rule or Expensent action.

A Zoho Books community report documents a receipt attachment call that returned success even though the receipt did not appear on the expense. Preserve the evidence and use the documented location checks before asking support to investigate.
