Use this guide when an emailed receipt is absent from the Receipt Wallet, remains unprocessed, or does not produce the expected corporate card match.

TL;DR

Confirm the actual sender is linked and verified in ExpensePoint. An unverified address cannot place receipts in the user's Receipt Wallet.

If the receipt is present, wait for reading to finish and compare the extracted vendor, date, total, and tax with the corporate card transaction. Match discovery can take up to 24 hours.

Use Verify Match or create an expense from the existing Receipt Wallet item. Resend only after proving delivery or document recognition failed.

1. Identify the checkpoint that stopped

ExpensePoint delivery, receipt reading, transaction import, and Verify Match are separate states. Start by locating the receipt in the wallet. If it is present, check whether reading completed. If the fields are available, check whether the card transaction has arrived and whether Verify Match appears.

2. Confirm the exact sender is verified

Open Linked Email Addresses and compare the verified value with the actual From address in the sent receipt message. Aliases, shared mailboxes, and secondary addresses can differ from the mailbox a user recognizes by display name.

If the address is pending or unverified, resend the verification email and use the newest confirmation link. Check spam if it does not arrive. After the status is verified, make one controlled receipt send from that exact address.

3. Check the receipt reader result

Open the wallet item and inspect whether ExpensePoint marked it as a receipt and extracted vendor, date, and total. If the source is hard to read, use the original PDF or a clearer scan rather than forwarding the same poor image again.

Compare the visible tax and currency context as well. ExpensePoint warns that OCR is not perfect, and matching depends on the values the system can compare. A complete image with a wrong total or date can still miss the documented threshold.

  • Compare vendor, date, total, tax, and currency with the source.
  • Keep the existing wallet item while you inspect the transaction feed.

4. Allow for card transaction timing

ExpensePoint says a corporate card transaction can take time to appear and match identification can take up to 24 hours. Confirm the transaction exists in My Transactions before concluding the receipt failed.

When the receipt and transaction align above the documented threshold, Verify Match appears for user review. Confirm the relationship and assign the resulting expense to the correct report. For an out-of-pocket purchase, create an expense from the receipt without waiting for a card feed.

5. Recover from the existing wallet item

Use Verify Match when the button is available. Review which receipt, transaction, expense, and travel booking will be combined, deselect any item that should remain separate, and choose the correct report.

If there is no suitable transaction, create an expense directly from the receipt and complete the fields manually. This preserves the original evidence and avoids duplicate wallet items while the finance team resolves the card feed or coding path.

6. Escalate with a complete ExpensePoint trace

If the receipt remains absent or cannot be matched, collect the sender, verification status, destination, message timestamp, attachment name and format, reader state, extracted fields, card transaction, import time, and report. Include screenshots of Verify Match or any Not a Receipt status.
