Route Email Receipts to Sage Expense Management
A connected-inbox workflow for Magic Mail—not a native Sage API integration
Sage Expense Management, formerly Fyle, gives each user a unique Magic Mail address. Expensent can help find, review, and route eligible receipt and invoice emails from a connected mailbox to that address. Sage Expense Management then owns extraction, expense creation, card matching, policy, reporting, approval, reimbursement, and accounting sync.
This is an email-routing workflow through Sage Expense Management's documented destination. It is not a native Sage Expense Management API integration, and it does not replace review of the Incomplete expense that Magic Mail creates when it cannot find a match.
The Inbox-to-Expense Gap
Magic Mail provides the destination, but the upstream inbox and the downstream expense state still need separate controls:
- •Digital receipts and invoices accumulate across vendors, mailboxes, and months
- •A broad Gmail filter can forward unrelated mail and create noisy expenses
- •A delivered receipt can create a new Incomplete expense instead of matching a card charge
- •Sender identity, amount, date, merchant, expense type, state, and competing candidates can all affect the result
The Expensent Workflow
Connect Gmail or Outlook to Expensent with OAuth, review likely receipt and invoice emails, and send selected messages from the connected mailbox to the exact Magic Mail address shown in Sage Expense Management. Create repeat rules only after a successful test.
- Inbox discovery: Surface likely receipt and invoice emails, including older items found during a historical scan
- Review before routing: Keep ambiguous confirmations, portal-only messages, and unsupported attachments visible for a person
- Connected-mailbox sending: Send from the authorized Gmail or Outlook mailbox to the user-specific Magic Mail destination
- Pattern controls: Create a rule from a reviewed sender and subject pattern instead of forwarding every message with a broad keyword
- Clear handoff: Sage Expense Management remains responsible for extraction, matching, expense completion, reports, approvals, and accounting sync
What Magic Mail Does After a Receipt Arrives
Sage Expense Management documents a unique Magic Mail address in each user's Preferences. A forwarded receipt or invoice can attach to a matching expense; when no match is found, Sage Expense Management creates an Incomplete expense for review under Expenses > Unreported.
- •Find Magic Mail on the web under Settings > Preferences > Magic Mail or in the mobile app under Settings > Magic Mail
- •The registered login email is the simplest sender path; current help also documents adding and verifying secondary inboxes for personal or other business addresses
- •Sage Expense Management extracts fields such as amount, merchant, and date, but the user must review and complete required fields
- •Receipt matching is limited to eligible corporate-card expenses and depends on amount, date, merchant similarity, state, and whether several possible matches exist
- •Gmail automatic forwarding to Magic Mail is documented as a beta workflow, so confirm the current account experience before relying on it
Destination boundary: Copy the Magic Mail address from the current user profile. Do not guess it, reuse another employee's address, or confuse it with receipts@fylehq.com, which appears in older registered-sender guidance.
How to Set Up the Workflow
Copy the current Magic Mail address
Open Sage Expense Management Preferences, copy the unique Magic Mail destination for the user, and confirm any secondary sending address required by the current account setup.
Connect the sending mailbox to Expensent
Authorize the Gmail or Outlook inbox with OAuth, then save that user's exact Magic Mail address as the software destination.
Review and send one test receipt
Choose one clear recent receipt, send it from the connected mailbox, and confirm whether it attaches to the expected expense or creates an Incomplete item under Unreported.
Add bounded rules for proven patterns
Create rules only for stable sender and subject patterns. Keep portal links, unclear confirmations, and mismatched or duplicate results in review.
