Airwallex Emailed Receipt Not Matching? Check These Five Points

1. Separate delivery from automatic matching
A receipt can reach Airwallex without attaching to the expected card expense. Airwallex puts low-confidence or out-of-scope items in the receipt inbox, so the first task is to identify whether the message failed to arrive, arrived in another organization, or arrived without a match.

2. Check the sender and card ownership scope
Look at the actual address that sent the message, not only the display name. Airwallex requires the uploader to own or contact the relevant card, or to work within a supported delegate relationship. A receipt forwarded from finance@company.com will not automatically match an employee card merely because the amount and date are correct.
If the transaction belongs to a company card, confirm that the sender is listed as a contact for that card. If an assistant sent the receipt, confirm the delegation in Airwallex rather than assuming administrator access expands the matching scope.
3. Check the transaction and extracted evidence
Confirm that the target card transaction is visible to the sender and has settled. Compare date and amount with the receipt, then inspect merchant, currency, and file readability. A pending amount can change at settlement, and a tip or currency difference can lower confidence.
If the receipt is legible but does not match automatically, use the receipt inbox to attach it to the correct expense. Automatic matching is a convenience, not the only valid completion path.
- Confirm the transaction belongs to the sending user, company-card contact, or delegator.
- Confirm the transaction is settled and visible in Card expenses.
- Compare date, amount, currency, merchant, and readable receipt evidence.
- Check whether the receipt already exists in the inbox before resending.
4. Check the default Airwallex organization
A user can belong to more than one Airwallex organization. Airwallex stores non-matching forwarded receipts in the default organization selected under Profile, Receipt forwarding. The document can therefore be present but invisible in the organization you opened first.
Switch to the configured default organization and inspect its receipt inbox. If the setting is wrong for future receipts, update it before the next controlled send. Moving or attaching the existing receipt is preferable to creating several copies.
5. Recover once, then prove the fix
Use the existing receipt inbox item when it is complete. Attach it to the right card expense or reimbursement report, fill the required expense fields, and submit it through the normal approval path. If delivery truly failed, correct the sender or file and make one controlled resend.
After the manual fix, test the next receipt from the same vendor and registered mailbox. Approve a recurring Expensent rule only when sender ownership, default organization, document quality, and the Airwallex result are all predictable.
6. Escalate with a complete receipt trace
If the receipt still cannot be found or attached, collect the sending address, destination, message timestamp, attachment name and size, Airwallex organization, cardholder, card transaction link, date, amount, and visible receipt inbox state. Share that trace with the Airwallex administrator or support.
